Who we are

Brief it is a trading name of Sophie Taylor, a sole trader based in the UK. Sophie is the “controller” of your personal information, which means she decides how and why it’s used.

What we collect

When you send us a brief. Whatever you type into our briefing form: your name, email address, company or brand, website and social media links, what you need, your project brief, your budget range, your deadline and how you heard about us. If you upload a file, we receive that too.

When you email us. Your email address and whatever you write to us.

When you visit the website. Our website is built on Squarespace, which automatically records technical information such as your IP address, the type of device and browser you use, the pages you view and how you arrived at the site. We see this only as combined statistics, not as a list of individual visitors.

You don’t need to send us sensitive personal information (for example, health details), and we’d ask you not to. If your brief includes other people’s personal details, please only include what’s needed.

Why we use it

  • To reply to your brief and prepare a scope and price. This is necessary to take steps at your request before we agree any work, and it’s in our legitimate interest to respond to business enquiries. If you go ahead, we use your details to agree and carry out the work.
  • To keep records if you become a client, such as invoices and accounts. We’re legally required to keep these.
  • To keep the website working and secure, and to understand how it’s used, using combined statistics. This is in our legitimate interest in running the site well.

We don’t use your details for marketing, newsletters or advertising. We only email you about your brief. We don’t make automated decisions about you or build profiles of you.

Who we share it with

We don’t sell your information, and we don’t share it with anyone for their own purposes. We do use a small number of companies to run the service, and they handle your information only on our behalf:

  • Squarespace, which hosts our website and stores briefs, uploaded files and website statistics. Squarespace is based in the United States. Transfers of UK personal data to it are covered by the UK–US data bridge, which Squarespace has certified to, and by the data processing terms in its agreement with us.
  • Our email provider, which hosts the inbox your brief is sent to.

We may also share information if the law requires it, for example with a tax authority or a court.

How long we keep it

  • Briefs that don’t lead to work, and any files that came with them, are deleted 12 months after we last spoke.
  • If you become a client, we keep our business and financial records for six years, because the law requires it.
  • Website statistics are kept by Squarespace for as long as its own settings allow. They are combined figures, not personal profiles.

Cookies and analytics

Cookies are small files a website stores on your device. We use two kinds, both set by Squarespace:

  • Essential cookies that make the site work and keep it secure. The site can’t work properly without them.
  • Analytics cookies from Squarespace Analytics, which count visits and show us which pages are used, so we can improve the site. We don’t use this information for advertising, and we don’t share it with anyone for their own purposes.

We don’t use advertising cookies or social media tracking.

You can turn analytics off at any time, using the cookie banner on our site or the settings in your browser. Blocking essential cookies may stop parts of the site from working.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that’s wrong;
  • ask us to delete your information;
  • ask us to restrict how we use it, or object to how we use it;
  • ask for your information in a portable format; and
  • withdraw your permission at any time, where we’re relying on it.

To use any of these, email hello@brief-it.co.uk. We’ll reply within one month. We may need to check who you are first, and we won’t normally charge a fee.

Security

Your briefs are held by Squarespace and in a password-protected inbox that only Sophie can access. We take reasonable steps to protect your information, but no website or email system is completely secure, so please don’t send anything you’d be uncomfortable sharing by email.

Children

Our service is for businesses and isn’t aimed at anyone under 18. We don’t knowingly collect information from children.

Links to other sites

Our website links to other sites, such as LinkedIn, Instagram and Substack. We aren’t responsible for how they use your information, so please read their privacy policies.

Changes to this policy

If we change how we use your information, we’ll update this page and the date at the top.

Complaints

If you’re unhappy with how we’ve used your information, please tell us first at hello@brief-it.co.uk so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
